We are active seeking a highly organized and detailed-oriented Event Assistant to join our team. The person will report to the Events Manager providing support for the successful management of events, meetings, conferences, and ad-hoc tasks during daytime and nighttime events held at the Russell Innovation Center for Entrepreneurs (RICE). This role will interact with RICE Stakeholders, Partners, Staff, and external clientele.
RESPONSIBILITIES: - Assist Events Manager in coordination of events ranging in size from 10-100 guest.
- Coordinate with internal stakeholders and external vendors to ensure all logistical requirements are met.
- Create and maintain event timelines, ensuring all deadlines are met.
- Collaborate with the marketing team to develop event promotional materials.
- Conduct post-event evaluations and provide recommendations for improvement.
- Operate and maintain A/V equipment used to enhance live events, such as microphones, video recorders, projectors, lighting etc.
- Check-in for events, tours, event coordination, etc. Support planning / implementation of major RCIE Stakeholder events
- Manage conference room reservations and organize all aspects for meetings.
- Collaborate with special event guests during the duration of their event.
- Maintain clean and tidy communal areas adhering to all COVID-19 protocols.
- Provide upkeep of and stock all meeting rooms, kitchens, and communal areas with necessary supplies.
- Support front desk personnel, checking in guests, answering questions and other receptionist duties.
Requirements QUALIFICATIONS: - 1-2 years of experience in event planning, hospitality, marketing, or related field.
- Excellent organization skills and attention to detail.
- Strong interpersonal and communication skills
- Proficient in Microsoft Office and event management software.
- Flexible work schedule, including evenings and weekends, as required.
- Ability to work full-time hours
